POSITION DESCRIPTION

 

Date: July 2019

Position Title: External Relations Coordinator

Grade: 6

Salary: Within the range of $500 - $820

Duration: Probation of 3 months, then two-year contract with probable renewal.

 

Purpose of Role:

 

1.    To increase CVTL’s ability to fund its core costs and programs itself.

2.    To manage relationships with CVTL’s donors and partners, including reporting.

The Coordinator follows the Seven Fundamental Principles of the Red Cross and Red Crescent Movement, CVTL’s Strategic Plan, Code of Conduct, Staff Regulations, policies and procedures.

 

Working Relationships:

 

The Coordinator reports to the Secretary General and is a member of the Management Team.

 

The Coordinator works with program coordinators to write proposals and reports, and to coordinate relationships with donors and partners.

 

The Coordinator manages these staff:

·         Communications Manager

·         Fundraising Manager

·         Commercial First Aid Manager

·         Monitoring, Evaluation and Reporting (MER) Officer

 

Responsibilities

1. Coordinate CVTL’s relationships with its donors and partners (including ICBRR Consortium members):

·         Work with Secretary General and Management team to identify potential partners

·         Work with individual program coordinators to develop proposals for new programs

·         Work with individual program coordinators to write program reports that meet donors’ requirements and are on time

·         Manage visits to CVTL by donors and partners

2. Coordinate the ICBRR Consortium:

·         Work with ARC on reporting required in 2019 and the end-of-program review in 2019

·         Work with IFRC on reporting required from 2020 onwards (probably financial and narrative reports twice a year)

·         Work with IFRC to find new members for the Consortium and develop agreements with new members

·         Check monthly budgets and actual expenditure to identify money needed for ICBRR activities in the next month

·         Ensure that enough funds for ICBRR activities are transferred quarterly from Consortium members to CVTL

·         Ensure the ICBRR program is planned and monitored effectively at the frequency required by Consortium members – program coordinators do the monitoring and give reports to the MER Officer informs Consortium partners as soon as possible about any financial, legal or technical issues with the ICBRR program

·         Organize any meetings required by Consortium members – a minimum of quarterly Skype calls

·         Lead discussion and review of the ICBRR guidelines and related processes.

 

3. Manage CVTL’s resource mobilization (RM) and fundraising activities:

·         Manage the National Fundraising Manager to run National RM and fundraising activities.

·         Manage the Commercial First Aid Officer to raise funds through delivering First Aid training, any other related training, and selling First Aid kits.

·         Work with the OD Coordinator and National Fundraising Officer to support the Branch Coordinators with their fundraising activities.

 

4. Manage CVTL’s communication activities through support for the Communications Coordinator and his team. Ensure the Communications team support:

·         promotion of CVTL programs to beneficiaries and stakeholders

·         relationships with donors and partners

·         resource mobilization and fundraising activities

 

5. Coordinate PMER for all CVTL programs/projects:

·         With Secretary General and Management Team organize annual planning and reporting process

·         Support MER Officer to ensure all CVTL programs are monitored effectively

·         Oversee baseline, mid-term and end-line data collection and assessment and program evaluations as required

·         Provide annual reporting on key CVTL performance and output indicators that can be given to external audiences including current and potential donors

·         Publish CVTL’s Annual Report with support from the Communications team

 

6. Other duties the Secretary General requests from time to time.
